A useful format

What a monthly milk bill should include

A customer should be able to check where the total came from. At minimum, show the billing month, milk quantity, rate per litre, milk charges, earlier balance, payments and the final amount due. Daily quantities make skipped or changed deliveries easier to resolve.

This generator produces that basic milk bill format, and you can shape how it looks. Four designs change the placement and weight of the bill—modern, a ruled classic that prints without colour, a compact version that uses less paper, and a letterhead with the logo and dairy name centred on top. The daily record can be a month calendar, a day-by-day table that reads like a paper bill book, or left off entirely when the customer only needs the amount. The downloaded CSV opens in Excel, Google Sheets and similar spreadsheet apps, and printing lets you save the finished bill as a PDF.

Worked example

How the milk bill total is calculated

Suppose a customer's daily record adds up to 28 litres and the agreed rate is 100 per litre. The milk charge is 2,800. If the earlier balance is 500, a 100 discount is entered as −100, and the customer has paid 2,000, the remaining balance is 1,200.

These figures are fictional and demonstrate the calculation only.

Bill versus khata

A bill shows one month. A milk khata keeps the history.

The free generator is useful when you need one customer bill. A running milk khata also keeps each delivery, payment and unpaid balance available for the next month. Read ourpractical milk khata guide if you are moving away from a notebook.

Common questions

Using this milk bill format

Can I open the download in Excel?

Yes. The CSV download contains one row per day and can be opened in Excel or Google Sheets.

How do I save the bill as a PDF?

Choose “Print or save PDF,” then select your browser's save-as-PDF option instead of a printer.

Can I put my dairy's logo on the bill?

Yes. Add a PNG, JPG or SVG logo and it appears on the printed bill and PDF. The image is read in your browser and is never uploaded.

Can I put my dairy's logo on the bill?

Yes. Add a PNG, JPG or SVG logo and it appears on the printed bill and PDF. The image is read in your browser and is never uploaded.

Does DairyTrack receive the bill data?

No. Everything is calculated in your browser, and the bill you are working on—dairy details, logo, customer, daily quantities and balances—is kept on your own device so you can close the page and finish later. “Start again” clears the bill, and “Forget everything saved” removes the saved copy from the device.

Does the generator calculate GST or tax?

No. It calculates milk quantities, charges, adjustments, payments and balances—not tax or statutory accounts.
